From empty calendar slot to logged decision — in four steps.
BioMedMeet's wizard mirrors the way clinicians actually plan multidisciplinary case meetings. No training day required.
Set the meeting.
Title, date, time, location, recurrence. One click generates a Microsoft Teams meeting and binds it to the event. Holiday-aware: the calendar refuses to schedule on national holidays for your country and on the custom days your hospital configures.
- Daily, weekly, fortnightly, monthly, quarterly or yearly recurrence — all RFC-5545 compliant.
- Microsoft Teams link auto-generated through Microsoft Graph (application-only auth — no per-user OAuth dance).
- Time-zone of the organiser stored on the meeting; recipients see their own local time.
Invite the team.
Pick from existing colleagues, or invite by email — BioMedMeet creates the account and emails setup instructions automatically. Each participant gets a calendar invite with the .ics attachment in their own time-zone.
- Role-aware: organiser, doctor, nurse, guest. Permissions follow the role.
- One-click "Invite by email" creates a user account and emails credentials.
- Response status tracked: pending, accepted, declined — visible to the organiser.
Add the patients.
Select patients from your hospital roster, or create a new patient record on the spot — fourteen clinically meaningful fields covering identity, MRN, diagnosis, allergies and current medications. Non-organiser additions go through an organiser approval step.
- Each patient is a first-class object with their own profile, history and file vault.
- MRN, primary diagnosis and clinical question travel with the case.
- Patient approval workflow keeps the organiser in control of who joins the agenda.
Build the agenda.
For each patient: a Requested Provider chosen from your meeting participants, the diagnosis, the clinical question, and explicit flags for whether pathology and radiology review are required. Treatment plans are added during or after the meeting and remain editable for seven days.
- The Requested Provider dropdown is populated from organiser + participants — no free-text mistakes.
- Pathology and radiology flags surface as filters on the meeting dashboard.
- Treatment plans are versioned and timestamped; edit window is seven days post-completion.
Decisions and treatment plans live where the meeting did.
Within ten minutes of the scheduled end, BioMedMeet auto-completes the meeting. Decisions, treatment plans and uploaded files stay attached to both the meeting and the patient — searchable, exportable, audit-trailed.
